Privacy Policy

Last Updated: October 2026

At CW Dental Lab, we are committed to protecting the privacy and security of the personal and sensitive health information we handle. As a dental laboratory, we primarily operate in a business-to-business (B2B) capacity, providing services to dental practitioners, corporate dental groups, and clinics.

This Privacy Policy explains how we collect, use, disclose, and protect personal and sensitive information in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Types of Information We Collect
We collect information necessary to fulfill laboratory prescriptions, manufacture custom dental appliances, and manage our business relationships. This includes:
  • Practitioner Information: Contact names, clinic addresses, email addresses, phone numbers, and financial/billing details.
  • Patient Information (Sensitive Health Data): Patient names (or unique identifiers/case numbers), gender, age, dental impressions, physical or intraoral 3D scans, clinical photographs, shades, and specific clinical instructions provided by the prescribing dentist.
2. How We Collect Information

We collect information through secure, professional channels, including:

  • Physical laboratory prescription forms (Lab Slips) sent with impressions.
  • Digital impression portals, secure file transfers, and 3D scanning software.
  • Direct communication with dental clinics via phone, email, or our customer portal.
3. Purpose of Collection and Use

We collect, hold, and use this information strictly for the following purposes:

  • To manufacture, customize, and deliver dental crowns, bridges, prosthetics, and aligners as prescribed.
  • To communicate with the prescribing dental professional regarding case specifications.
  • For order tracking, invoicing, account management, and regulatory record-keeping.
4. Data Disclosure and Security

We implement robust technical and organizational security measures to protect data against unauthorized access, loss, or disclosure. Patient data is treated as highly confidential clinical information.

  • We use unique case numbers where possible to separate patient identity from clinical data during the manufacturing process.
  • Access to data within our facility is strictly limited to authorized technicians and administration staff who require it to complete the order.
5. Cross-Border / Overseas Data Disclosure

To leverage advanced manufacturing technologies and specialized technical expertise, CW Dental Lab partners with a highly qualified offshore laboratory facility located in China.

  • When a case is outsourced, required design files, 3D scans, or prescription specifications may be securely transferred to our facility in China.
  • Privacy Guardrails: We enforce strict contractual data protection agreements with our overseas partner in China. This ensures they handle all data with the equivalent level of security and confidentiality required under the Australian Privacy Principles (APPs). We actively take steps to de-identify or use unique case IDs rather than full patient names during cross-border transfers whenever possible.
6. Data Retention and Quality

We take reasonable steps to ensure that the information we hold is accurate and up-to-date. In accordance with Australian healthcare and tax compliance regulations, we retain laboratory records and digital case files for the legally required periods, after which they are securely destroyed or permanently de-identified.

7. Access, Correction, and Complaints
Because we act as a data processor for dental practitioners, patients wishing to access or correct their personal data should contact their treating dental clinic directly.

Dental professionals can request access to or correction of their account information, or raise any privacy-related inquiries or complaints, by contacting our Privacy Officer at:
